Smart Project is a professional project and task management mobile application developed and maintained by SmartChoice IQ. It enables teams to manage projects, track tasks, log time entries, handle budgets and invoices, collaborate via project chat, and monitor team activity — all in one place.

We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains what data we collect within Smart Project, how we use it, and what rights you have.

Smart Project collects the following categories of data in order to deliver a complete project management experience:

We use the data we collect solely for the following purposes:

• To authenticate users and provide secure, role-based access to company project data.
• To display, create, update, and manage tasks assigned to you across all projects.
• To record and calculate time entries, weekly hours, and timesheet summaries.
• To present project progress, budgets, expenses, invoices, and profitability reports.
• To enable real-time team collaboration through project chat and activity feeds.
• To manage and display project files, journal entries, and resource documents.
• To send push notifications for task assignments, approvals, and project updates.
• To display your public profile information (name, role, avatar) to your team members.
• To save your in-app preferences such as display settings and notification preferences.
• To diagnose technical issues and improve overall application performance and stability.

The following table summarizes which data each major app feature uses:

• Tasks Module: Reads and writes task records including title, priority, status, deadline, progress percentage, and assignee information.
• Projects Module: Accesses project metadata, team members, board columns (Kanban), and linked sub-modules.
• Budget & Expenses: Reads financial figures (budget, spent amount) scoped to each project under your company account.
• Purchase Invoices: Displays invoice records associated with your company’s projects. No payment processing occurs within the app.
• Timesheet: Records start/end times and duration of work sessions per project and task.
• Project Chat: Stores and displays messages within project-specific channels visible to team members of that project.
• Project Files: Allows uploading and viewing files attached to a project workspace.
• Journal Entries: Reads and creates journal notes linked to specific projects.
• Reports: Generates visual summaries from existing project and task data; no new data is collected.
• Resources & Activity: Displays team-wide activity logs for resource management purposes.
• Profile: Displays and allows editing of your personal profile details (name, photo, role).
• Notifications: Uses your device push token to deliver in-app and system notifications.
• Settings: Stores your preferences locally on-device using secure local storage.

We do not sell, rent, or trade your personal data to any third party. Data may only be shared in the following limited circumstances:

• With your employer (the organization registered in the system) strictly within the scope of your assigned role and project memberships.
• With your project team members — task assignments, comments, and profile information are visible to colleagues within the same project.
• With technical service providers (e.g., Frappe/ERPNext hosting infrastructure) operating under strict confidentiality agreements.
• When legally required by court orders, government requests, or applicable law.
• In emergency situations to protect the safety and security of users.

• All project and user data is stored on dedicated Frappe/ERPNext servers provisioned per client organization.
• All communication between the app and the server is encrypted in transit via HTTPS/TLS.
• Passwords are hashed using bcrypt and are never stored or transmitted in plain text.
• Session tokens are short-lived and invalidated upon logout or password change.
• User preferences and session data stored on-device use the platform’s secure local storage (SharedPreferences on Android, NSUserDefaults on iOS).
• Uploaded files are stored in access-controlled server directories scoped to the owning organization.
• Data is retained for the duration of the service contract and permanently deleted within 90 days of subscription termination upon request.

Depending on your location, you may have the following rights regarding your personal data:

• Right of Access: Request a copy of the personal data we hold about you.
• Right to Rectification: Request correction of inaccurate or incomplete profile information.
• Right to Erasure: Request deletion of your account and associated data, subject to organizational retention requirements.
• Right to Restriction: Request that we limit processing of your data in certain circumstances.
• Right to Data Portability: Request an export of your personal data in a structured, machine-readable format.
• Right to Withdraw Consent: Revoke notification permissions at any time through your device settings without affecting core app functionality.

Smart Project sends push notifications to keep you informed of important project events, including:

• New task assignments and task status changes.
• Approval requests for timesheets or project actions.
• Mentions and replies in project chat channels.
• Project deadline reminders and overdue alerts.
• System-level alerts from your organization’s administrator.

You may manage or fully disable push notifications at any time through your device settings (iOS: Settings → Smart Project → Notifications; Android: Settings → Apps → Smart Project → Notifications). Disabling notifications does not affect your ability to use any other feature of the app.

Smart Project integrates with the following third-party services in the course of normal operation:

• Frappe Framework / ERPNext: The backend server platform that stores and processes all project, task, timesheet, and financial data. Each organization operates on its own dedicated server instance.
• Firebase Cloud Messaging (FCM): Used to deliver push notifications to Android and iOS devices. Only a device push token is shared — no personal content is transmitted to Firebase.
• Apple Push Notification service (APNs): Used on iOS devices for push notification delivery under the same token-only principle.
